Building a Reorder Rhythm for Vape Demand Forecasting

Ritmo de reposição e previsão de procura de vape

For most independent vape shops, restocking happens by feel. A shelf looks low, a good week passes, and someone remembers to reorder. That habit works until it does not, and the failure usually shows up as either a stockout during a busy weekend or a corner of the store filled with slow-moving devices you wish you had not bought. The fix is not a fancy system. It is a simple, repeatable rhythm built on weekly numbers and a couple of straightforward formulas. This guide walks through a lightweight forecasting method any shop can run with a spreadsheet and a few minutes each week.

Why reorder by the week, not by feel

Weekly ordering turns inventory from a memory problem into a number problem. When you review stock on the same day each week, you create a predictable cadence that your supplier, your cash flow, and your staff can all plan around. It also shortens the feedback loop: a bad assumption shows up in seven days, not in three months, so you correct it while the mistake is still small.

A weekly rhythm pairs well with a European warehouse model. Because estvape ships from EU stock within 3 to 5 business days after payment, a weekly check gives you enough lead-time buffer to avoid emergencies without carrying excessive safety stock. You are not racing the clock; you are simply staying one step ahead of demand.

The 4-week rolling average and safety stock formula

Start with the simplest useful signal: the four-week rolling average. Add your unit sales for the last four weeks and divide by four. That gives you a baseline weekly demand that smooths out one-off spikes and quiet days.

Next, set a safety stock. A common starting point is half a week of average demand, though busier shops may use a full week. The reorder point is then your average weekly demand multiplied by your delivery lead time in weeks, plus your safety stock. When your on-hand stock drops to that number, you place the next order.

Worked example: suppose your shop sold 40, 52, 48, and 60 units of one flavour over the last four weeks. The rolling average is (40 plus 52 plus 48 plus 60) divided by 4, which equals 50 units per week. With a safety coefficient of 0.5, hold 25 units as buffer. If delivery takes under one week after payment, your reorder point is about 50 plus 25, or 75 units. When stock hits 75, reorder.

This formula is deliberately simple. You can refine the safety coefficient later, but the value of the method is that it is boring, repeatable, and based on your own sales rather than a supplier’s pitch.

Count by flavour, not by SKU

Disposable device demand is flavour-driven, not model-driven. Customers rarely ask for a specific coil architecture; they ask for a taste. If you track only at the SKU level, you miss the real story, because the same flavour can sell across several device families while a flagship model sits untouched in a flavour nobody local likes.

A better habit is to tag every sale by flavour first, then by device. Over a month, patterns emerge: two or three flavours carry the store, a middle tier sells steadily, and a long tail barely moves. Your reorder rhythm should follow the flavour curve, not the catalogue. Build your safety stock around proven flavours and let weak ones earn their place with fresh data.

Plan ahead for late-summer and Q4 peaks

Demand for disposable devices is not flat through the year. Late summer and the fourth quarter tend to be stronger in many EU markets, driven by travel, holidays, and gift buying. The mistake is to discover the peak in the middle of it, when every other shop is also reordering and warehouse slots tighten.

Because our EU warehouse dispatch happens 3 to 5 business days after payment, you can react faster than importers waiting on overseas freight, but you should still lift your safety coefficients a few weeks before the expected peak. Raise the buffer on your proven flavours first, and confirm your tier pricing band before volumes climb so the per-unit cost stays where you planned.

Use MOQ 10 and tier bands to smooth frequency

A low minimum order quantity is a forecasting tool as much as a buying limit. With a MOQ of just 10 pieces, you are not forced to place a giant order to unlock a price. You can reorder small and often, which keeps your rolling average accurate and your cash flow steady.

The five tier bands, 10 to 29, 30 to 49, 50 to 99, 100 to 199, and 200 plus, let you choose how aggressively to buy as confidence grows. Early in a flavour’s life, stay in the lower bands and watch the data. Once a flavour proves itself, step up a band to capture a better unit price without overcommitting. Mixed flavour boxes mean you can still spread a single tier across several tastes, so moving up a band does not mean betting everything on one flavour. See our mixed flavour guide for how the tiers work in practice.

Category Suggested reorder cycle Safety stock coefficient Notes
Proven core flavours Weekly 0.5 to 1.0 week Carry the largest buffer; these drive most revenue
Steady mid-tier flavours Weekly to biweekly 0.5 week Watch the trend before raising the band
Seasonal or promotional Pre-season only 1.0 week plus Build stock before the peak, not during it
Long-tail experiment Monthly 0.25 week Test small; let data earn a larger commitment

Frequently asked questions

How many weeks of history do I need to start?

Four weeks is enough for a first rolling average, and it is a good default. As more weeks accumulate, the average becomes more stable, but you do not need months of data before the method is useful.

What if a single week was distorted by a promotion?

Note it and consider excluding that week from the baseline, or blend it. The point of the rolling average is to reflect normal demand, so a one-off event should not quietly inflate your reorder point for the next month.

Should I forecast by device model or by flavour?

By flavour first. Device demand follows taste far more than specification. Track flavour as the primary signal and use the model only to decide which device family to stock it in.

Can a low MOQ really help with forecasting?

Yes. Smaller, more frequent orders keep your data current and reduce the damage from a wrong guess. You can read more in our supplier selection guide, which covers how flexible terms protect a small buyer.
